Back Up Policy

 

PURPOSE, data save reliable.

 

Now, our file server have too many file, which include current use file and seldom use file.

Our file backup time is limited. But our file server size is increasing. It mean that we will not enough time to backup all file in the future.

 

And there are many bad thing  in this situation.

 

1. At last we have not enough time to do the backup.

2. When the backup time is too long, The backup time will more early. Just 18:15.  It will affect the lan speed. (OT Staff, Urgent Work)

3. When there are too many file in the harddisk, it will affect the harddisk maintenance.

4. When the harddisk breakdown, the recovery will be very long.

5. Search a usable data will need a long time.

6. We have all file in 1 backup file. This file is very very big (over 30g). When there is some 缺點 just as cross link, back sector. We cannot take it again. Very danger !!

 

 

 

Suggestion

 

1. Add the limited for each department.

2. Each department have two directory, 1 is current use , 1 is for burn CD by MIS Department.

3. MIS department will burn CD/DVD  Each month i(Each Department in Each CD ROM). After burn the CD ROM , the (burn cd directory files will delete) . Each time burn 2 DVD rom in a re-writeable DVD. 1 is master , 1 for retrieval. Burning file list would print out.

4. The first time do it is 28Feb2006 (Computer Department Burn CD). After this time MIS will burn it by each month. If the CD Rom is not full. burn it in re-writeable DVD ROM, with Full, burn it again in the no-rewrite cd-rom. The re-wirteable DVD ROM re-use it.

5. If the department file is over the limited. MIS department will delete the file from the earliest time.

6. After burn DVD, this DVD will keep in (Document Control Centre) and it can retrieval in the public computer which had CD Rom share. I suggest Document Control Centre because this department can control who lend and return this CD ROM.

7. And the other CD Rom keep In HongKong.

Printer Policy

Purpose is limited the printer usage but efficence and reliable and data security.


Color Printing
In PRC only one ink jet printer in PRC for Urgent use.
And the other docuement is print by PDF, and send to Hong Kong .Hong Kong Office will print out and send back to PRC next day.
 

Because Color Ink is expense than laser.

Black Printing

1. is in document control centre which is for REPORT. Document Control Centre record down who print which docuemnt. For data Security and for Control Paper Usage.

We will rental the printer. The laser material usage is cheaper than ours support.

 

2. print document for outside.

2.1 Account (Voucher for auditor) have a reliable and high speed printer. It printer document is daily.

2.2 Shipping (our invoice) have a reliable printer.

2.3 Purchase (PO) have a reliable printer.

2.4 Personel. (Confidental for staff)

* Suggestion all these printer use laser. (Becuase the 租機公司 有加炭粉 cheaper than we add ink or 炭粉).

 

3. Label Printing

 

Every Production Department have a dot printer and Central WareHouse.

And Computer Department keep one  for repair use.

 

install windows (install pc)

Install Windows

• bios : boot dvd first and  begin install , 
• partion c for system, d for data and backup driver, or e for data backup.
• prepare the driver 
• plug off the lan cable
• copy all driver , and installer to d: (for easy reinstall)
• when install the computer the name should : installer_ComputerName don't match domain controller administrator name and another station administrator name.
• after install xp plug back the lan cable update the latest windows service pack
• delete icon : %AllUsersProfile%Desktop , %AllusersProfile%Start Menu. Notes : Administrator use command to control the PC.
• install the anti virus, and set the scan schedule rename cmd.exe , command.exe compmgmt.msc : set current user should not have admin right make a directory name autorun.inf in the root directory, and make it readonly and hidden, by right click, property.
• mark down it's lan card number (mac), and install it's on the router statis for control purpose.
• make a new record card, just as 醫生咭 for this computer. to record this log. location, hardware software.
• disable the usb HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Services\UsbStor.start=4  && 4 for stop , 3 for start
• disable run usb software begin > run >secpol > software control policy  step 
  1.  強制 .內容 (Set all user exclude administrator) , all software exclude dll
  2  other policy : add c:\>
  3 safe level > not allow > default (click it)
• write down the MAC for Setting in DHCP.
• install email account install open office
• install odbc install application (company system)

• make a xxx.bat and put it in the start folder. the following is the xxx.bat content :
